Internship/traineeship mobility and clearance under Erasmus+

Before starting an internship programme abroad:
 

1. The student/graduate applies to do an internship with an EU-based company/organisation offering such an opportunity on their own. They should ask the selected company/organisation for a confirmation of being accepted for an internship:

1. short term – 5-30 days combined with virtual part of mobility

2. long term - at least 2 months (60 days)


2. The student/graduate fills in, signs, and sends the documents listed below to KU’s International Internship Coordinator - Marzena Indra [email protected] (hereinafter referred to as the Coordinator):

confirmation of being accepted to do an internship abroad – at least 2 months (it can be an e-mail message from the chosen company/organisation)

- Registration Form for Recent Graduates or Registration Form for Students (pdf)

Learning Agreement for Traineeship (LA) , with the BEFORE THE MOBILITY section, table A and C filled in (Word file required)

Documents the student may be asked for by the company accepting them as an intern:

• A CV in English
• A motivation letter in English - a scanned copy, with a signature
• A language certificate or another document confirming their knowledge of the required foreign language

Please prepare and compile the documents on your own or contact the Career Development and Alumni Relations Office for consultation if necessary.
 

3. The Coordinator reviews and verifies the Registration FormIf the student meets the formal requirements making them eligible to receive an E+ grant, the Coordinator sends the LA – the BEFORE THE MOBILITY section – to a Rector’s Proxy for Student Internships for approval. If the set of documents is incomplete, the Coordinator contacts the student/graduate. 

 

4. If the Rector’s Proxy for Student Internships approves the LA, the International Internship Coordinator:

-  asks the applying student/graduate to sign the BEFORE THE MOBILITY section and have it signed by the mentor from the company/organisation accepting them as an intern/trainee 

- sends the link to an OLS test to be taken by the student

 

5. The student/graduate sends the following to the Coordinator:

- LA signed by themselves and by the mentor from the selected company/organisation (pdf)

Financial Agreement, filled in on the first (1) page and signed by the student/graduate (Word file required)

- confirmation of having taken the first OLS test (pdf or a printscreen)

NOTICE: The said documents need to be sent in a single e-mail message to the Coordinator. Documents sent separately will not be considered. Make sure you send a complete set of documents (signed LA, filled in and signed Agreement, OLS test).

6. The Coordinator fills in the agreement by including the amount of the grant, signs the agreement, and sends it back to the student/graduate.

7. The grant will be transferred to the student’s/graduate’s account according to the provisions of the Financial Agreement. 


 

After the internship is completed — Clearance:


 

In the case of an internship for students:
 

1. The student fills in the relevant report in the system: https://my.kozminski.edu.pl -> Applications directory [PL: Katalog aplikacji] -> My internship [PL: Moje praktyki] – report
2. The student sends an electronic version of a scanned copy of the LA – AFTER THE MOBILITY section, filled in by the mentor from the company/organisation they did the internship with, to the Coordinator (pdf or image file format)
3. The student fills in the questionnaire for Erasmus+ beneficiaries (the link will be sent automatically from the Erasmus+ Programme system)
4. The student takes the second OLS language test (the link will be sent automatically from the Erasmus+ Programme system)
5. The Coordinator pays out the remaining part of the Erasmus+ grant

 

In the case of a traineeship for graduates:
 

The graduate sends an electronic version of a scanned copy of the LA – AFTER THE MOBILITY section, filled in by the mentor from the company/organisation they did the traineeship with, to the Coordinator

1. The graduate fills in the questionnaire for Erasmus+ beneficiaries (the link will be sent automatically from the Erasmus+ Programme system)
2. The graduate takes the second OLS language test (the link will be sent automatically from the Erasmus+ Programme system)
3. The Coordinator pays out the remaining part of the Erasmus+ grant

NOTICE!

Every person applying for an Erasmus internship grant should contact KU’s International Internship Coordinator at least 4 weeks before the planned commencement of the internship programme.

If the internship is set to take place in the period from 1 October to 30 May, the student should contact the relevant Dean in charge of the pursued field of study to obtain their approval to do the internship in the period in question. 

Students are obliged to contact a Proxy for Internships before submitting their applications to the International Internship Coordinator.

KU’s International Internship Coordinator will respond to the applications sent by e-mail, expressing an intention to do an internship abroad within the framework of the Erasmus+ programme, within 5 working days.
